Privacy Policy — Partner Recruit

Partner Recruit ("we", "us") runs an agent portal used by our own recruitment agents to submit and track student applications and to see the commission they have earned. This policy explains what the portal and the Partner Recruit app collect, why, and what your rights are.

Who this applies to

The portal is not open to the public. Accounts are created only for agents and office staff we work with, and every account must be approved by us before it can be used.

What we collect

About you, as an agent or member of staff

Name, email address, mobile number and agency name
Your password, stored scrambled — we cannot read it
Bank details you enter for commission payments, stored encrypted; only the last four digits are ever displayed
A record of actions you take in the portal — status changes, approvals, payments
If you use the app, a device token so we can send you notifications

About students you submit

Personal and contact details, date of birth, nationality and passport or ID information
Course, campus, intake and the progress of their application
Documents you upload, such as passports, certificates and proof of address

You must have the student's permission before entering their details or uploading their documents.

Why we hold it

To process and track applications to our education partners
To calculate and pay commission accurately
To keep a record of who changed what, so payment questions can be settled
To protect accounts and payment details from misuse

What the app uses on your device

Camera — only when you choose to scan or photograph a document. Nothing is captured in the background.
Photos — only the file you pick to attach to an application.
Face ID or Touch ID — to unlock the app. This is handled by your device; we never receive your biometric data.
Notifications — daily reminders and updates about your students and commission.

The app does not track you across other apps or websites, and contains no advertising.

Where it is stored

All data sits on our own hosting and database in the United Kingdom. Uploaded documents are kept outside the public web root and can only be downloaded after signing in. We do not sell data, and we do not share it with anyone except the education partner an application is submitted to.

How long we keep it

Application records and their documents are kept for as long as needed to administer the application and the commission arising from it, and to meet our legal and accounting obligations. Accounts that are removed are deleted; the students they submitted remain with the agency.

Your rights

Under UK GDPR you may ask us for a copy of the personal data we hold about you, ask us to correct it, or ask us to delete it where we are not required to keep it. Students whose details we hold have the same rights.
